Before you start
You only need three things:
- A free Google account
- A computer for setup (phone or tablet works afterwards)
- Trip dates and a destination (best guesses are fine, you can change them later)
- A list of everyone invited and a rough budget per person
Throughout this guide, light cells are the ones you type in. Everything else is calculated automatically and protected so nothing breaks.
Tour of the tabs
Planly Last Hurrah has 8 tabs. Here's what each one does and what (if anything) you fill in.
Start Here
A quick welcome, the 3 steps to get going and a map of the template.
You fill: Nothing. Read it once.
Setup
Trip name, guest of honor, destination, dates, budget per person and currency, plus the expense and packing categories.
You fill: The light cells at the top, then any categories you want to change.
Group
Up to 20 people with RSVPs, who's chipping in, arrival times, travel, rooms, food notes and deposits.
You fill: Each person, their RSVP and travel details.
Dashboard
A countdown, six summary cards and 4 charts: spending by category, paid vs fair share, RSVPs and budget vs cost per person.
You fill: Nothing. It fills itself.
Itinerary
The weekend plan, hour by hour, with up to 60 plans, booking status and cost per person.
You fill: Each plan's day, time, place and cost.
Expenses
Room for 150 shared costs, with who paid and how each one splits.
You fill: Each cost as it happens: what, amount, who paid and the split.
Settle Up
What each person paid, their fair share, their balance and a plain status like “Owes $25.00”.
You fill: Nothing. It works itself out from EXPENSES.
Packing
A packing list with 16 items to start, where shared things get one name so nothing is forgotten or doubled.
You fill: Items, who brings the shared ones, then tick Packed.
Make your copy
Your planner lives privately in your own Google Drive, so the first step is making your personal copy.
- Open the PDF from your Etsy purchase (Etsy → You → Purchases and reviews → Download files).
- Click the “Make my copy” button. If you're asked, sign in to your Google account.
- Google shows a “Copy document” screen. Click the blue “Make a copy” button.
- Your copy opens. Rename it if you like (click the title in the top-left), e.g. “Nashville Weekend”.
Tip: Bookmark your copy, or star it in Google Drive, so it's one click away all weekend.
Add your trip details
The light cells at the top of SETUP feed the dashboard, the countdown and the itinerary heading.
- Open the SETUP tab.
- In the light cells C6 to C11, enter the Trip name, Guest of honor, Destination, Arrive date, Leave date and Budget per person.
- Pick your Currency in C12 ($, £, €, CA$, A$, NZ$, R, ₹, ¥, kr, CHF or zł). Every money heading then shows your symbol, e.g. “Amount (£)”, and SETTLE UP writes balances like “Owes £25.00”.
- Check the DASHBOARD title: it now shows your trip name, with the destination and dates underneath.
- Read the short tip in B14 before moving on.
Tip: The countdown on DASHBOARD counts the days to your Arrive date, so update it if the dates move.
Check your categories
The two lists on the right of SETUP fill the Category dropdowns on EXPENSES and PACKING. The defaults work well, so change only what you need.
- Expense categories (E6 to E15): Lodging, Travel, Food & drinks, Activities, Decor & swag, Gifts and Other are ready to go. Rename them or add your own in the empty rows, and they show up in the dropdown and on the spending donut.
- The last expense category, Repayment, is special: use it when someone pays another person back. Keep it in the list with that exact name. Repayment rows settle balances but never count as spending.
- Packing categories (G6 to G15): Clothes, Going out, Toiletries, Tech, Shared, For the guest of honor and Other.
- Who brings it (I6 onward) fills itself with “Everyone” plus every name on GROUP. It feeds the dropdown on PACKING, so there's nothing to type here.
Tip: Keep the packing category called “Shared”. PACKING uses it to flag shared items no one has claimed yet.
Add the group
GROUP is your guest list for the trip. These names fill the Paid by and Who brings it dropdowns, and they're the people costs are split between.
- Type each person's Name, Phone and Email, one per row. Up to 20 people fit.
- Set RSVP to Going, Maybe or Can't make it. Going turns green, Maybe turns pink and anyone who can't make it is greyed out.
- Add the guest of honor too, typing their name exactly as it appears in Guest of honor on SETUP. That's how the planner knows to leave them out of the split, so they never get a share even though their Chipping in box is ticked.
- Anyone set to Can't make it is left out of the split automatically as well.
- Look at Chipping in. Every box starts ticked, which means that person shares the costs. Untick it for anyone else who is sitting costs out, like a friend who is only coming for one dinner and paying their own way.
- Fill in Arrives, Time and Flight or train so you know who to pick up and when.
- Add a Room, any Food notes, and tick Deposit paid as deposits come in.
- Check the cards at the top: Invited, Going, Maybe, Chipping in and Deposits paid.
Tip: Type each name the same way everywhere. The planner matches names exactly, so “Grace” and “Grace W.” count as two different people. The Chipping in card counts only the people actually sharing costs.
Plan the weekend
ITINERARY is the hour-by-hour plan. The heading shows your trip name and dates.
- For each plan, enter the Day, the Time, What you're doing and Where.
- Tick Booked once a reservation is made. Plans that aren't booked yet are highlighted in pink.
- Enter a Per person cost for anything with a ticket or cover charge, so the group knows what to expect.
- Add an Address or link (a reservation page or map link) and any Notes.
- Keep the rows in time order. The first row of each new day turns bold, so the days are easy to spot.
- Check the cards at the top: Plans, Booked and Activities, per person.

Tip: Activities, per person adds up the Per person column as an estimate. It's handy to share before the trip so no one is surprised. Real costs still go on EXPENSES.
Log shared costs
Every time someone pays for something the group is sharing, add a row on EXPENSES. This is what SETTLE UP uses to work out who owes what.
- Enter the Date, What for (e.g. “House, 2 nights”) and a Category.
- Type the Amount.
- Pick who paid in Paid by. The dropdown reads your GROUP names.
- To share the cost between everyone with Chipping in ticked on GROUP (never the guest of honor or anyone who can't make it), leave all the name boxes on that row unticked. People shows how many that is, and Each shows the share per person.
- If only some people are sharing a cost (say, four of you went to the spa), tick the boxes under their names on that row. The cost then splits between only the people you ticked. The name columns sit between Paid by and People, with each person's name at the top.
- Watch the cards at the top: Total spent, Items, People splitting and Each, if split evenly.

Tip: With no names ticked, the person who paid doesn't need a tick: if they're chipping in, their share is already counted. Once you tick any names, only those people share the cost, so tick the payer too if they're sharing it, not only paying for it.
Settle up
SETTLE UP does the math nobody wants to do on the drive home. There's nothing to type here.
- Each person on GROUP gets a row with what they Paid, their Fair share and their Balance (paid minus fair share).
- Status says it plainly: “Gets back $40.00” (green) if they paid more than their share, “Owes $25.00” (pink) if they paid less, or “All square”.
- The Still to settle card shows the total that still needs to change hands.
- To settle, anyone who owes pays whoever gets money back, starting with the biggest amounts.
- Record each repayment on EXPENSES so the balances update: add a row with the amount, set Category to Repayment, set Paid by to the person paying back and tick only the person who was repaid.
- When every Status shows All square, you're done.
Tip: Collecting deposits works the same way. If someone sends the organizer $100 toward the house, add a Repayment row: Paid by that person, with only the organizer ticked. Their balance goes up by $100 and the house cost is still split fairly. Repayment rows never count as spending, so Total cost and the charts stay accurate.
Split the packing list
PACKING starts with 16 common items. Personal things say “Everyone”, and shared things wait for one person to claim them.
- Read through the list and delete anything you don't need. Add your own items in the empty rows with a Category.
- For each Shared item (speaker, decorations, party games, snacks and so on), pick one person in Who brings it. The dropdown lists “Everyone” plus every name on GROUP. Shared items with no one yet are highlighted in pink.
- Leave “Everyone” on personal items like chargers and sunscreen.
- Tick Packed as things go in the bag. Packed items get a line through them.
- Check the cards at the top: Items, Packed and Shared items with no one yet. Aim for zero on that last one.
Tip: Share the sheet with the group a week before the trip and ask everyone to claim one shared item. It saves three people bringing a speaker and no one bringing snacks.
Read your dashboard
The dashboard pulls everything together. There's nothing to type here.
- The cards show Days to go, Going, Total cost, Cost per person, Budget per person and Still to settle.
- Spending by category shows where the money is going.
- Paid vs fair share shows each person's two numbers side by side. Anyone who hasn't paid anything and has no share (often the guest of honor) is left off.
- RSVPs shows Going, Maybe and Can't make it.
- Budget vs cost per person compares your budget per person with what the trip has cost each person so far.

Tip: Cost per person is the total spent divided by everyone chipping in. If some costs are shared by only a few people, think of it as the average, and check SETTLE UP for each person's real share.
Your routine
A few minutes a week keeps everything accurate.
- Chase RSVPs and deposits on GROUP
- Book plans and tick Booked on ITINERARY
- Log deposits and bookings on EXPENSES
- Add each receipt on EXPENSES the same day
- Check the day's plans on ITINERARY
- Keep an eye on Budget vs cost per person
- Add any last costs
- Share the SETTLE UP statuses with the group
- Record repayments until everyone is All square
Tips & tricks
What the colors mean
SETTLE UP: pink Owes, green Gets back. GROUP: green Going, pink Maybe, grey for anyone who can't make it. ITINERARY: the first plan of each day is bold, and a pink Booked box means it still needs booking. PACKING: crossed out is packed, and a pink Who brings it means a shared item nobody has claimed.
Share it with the group
Click Share in the top-right and add the group as Editors so everyone can log what they paid, or as Viewers if you'd rather keep the typing to yourself.
Use it on your phone
Install the free Google Sheets app and open your copy. Adding a cost at the table takes less than a minute.
Keep the guest of honor in the loop
Add them on GROUP with their name spelled exactly as on SETUP. They get arrival details and a room, and they never see a share of the bill.
Keep a backup
File → Make a copy any time to save a snapshot. It's handy before you settle up.
Prefer dark mode?
Your order includes a Dark Mode edition with the same tabs and formulas. Open the link in your PDF and tap “Make my dark copy”. You can keep both and use whichever you like.
Troubleshooting
A cost is split between the wrong people.
Look at the name boxes on that row of EXPENSES. With no names ticked, the cost splits between everyone with Chipping in ticked on GROUP. As soon as you tick any names, it splits between only the people you ticked, so tick everyone who is sharing it (the person who paid too, if they're sharing).
I ticked names but everyone still got a share.
Check the ticks are on the same row as the amount. A tick one row up or down belongs to a different cost, and the row with the amount is still split between everyone chipping in. People on that row shows how many people are sharing it.
I don't see “Make a copy”.
Make sure you're signed in to a Google account. On a phone, open the link in your browser (not the Etsy app) or in the Google Sheets app.
A cell says it's protected when I type.
That cell holds a formula. Type only in the light input cells. That's what keeps everything calculating correctly.
The guest of honor is being charged a share.
Check their name on GROUP matches Guest of honor on SETUP exactly, including spelling and spaces. The planner leaves them out of the split by matching the two names.
I paid someone back but Total cost went up.
Set the Category on that row to Repayment. Repayments settle balances but are left out of Total cost, Cost per person and the charts.
Someone's balance looks wrong.
Check their name in Paid by matches GROUP exactly, and that rows shared by only some people have the right names ticked. A typo in Paid by means the payment isn't credited to anyone.
Amounts show the wrong currency symbol.
Pick your currency in C12 on SETUP. Amounts are plain numbers, and every money heading and balance switches to the symbol you choose.
Dates look wrong (day and month swapped).
File → Settings → Locale controls the date format. Pick your country and the dates switch to your format.
